iOS Classroom Attendance app for use with Google Classroom

The BeaconMeIn! app is part of Newtown Software, LLC, suite of products which provides the SERVICE, which collects attendance data for classrooms in Public and Private educational institutions.

This page is used to inform app users of our policies with the collection, use, and disclosure of Personal Information for users of our Service

If you choose to use our Service, then you agree to the collection and use of information in relation with this policy. The Personal Information that we collect is used for providing and improving the Service. We will not use or share your information with anyone except as described in this Privacy Policy.

The terms used in this Privacy Policy have the same meanings as in our Terms and Conditions, unless otherwise defined in this Privacy Policy.

Information Collection and Use

All users of this Service are required to authenticate with Google Sign-in. There are no exceptions. As an authenticated user, you will only be able access Google Classroom Data that only you have been authorized to view or change. These permissions are required to allow the app to access Classroom Rosters you are already managing in Google Classroom for the sole purpose of taking classroom attendance. This app makes no changes to data stored in Google Classroom. It only accesses Google Classroom data for viewing (read-only).

Google Classroom Permissions

When you authenticate for the first time, Google Sign-in will prompt you to approve the following:

  • View your Google Classroom classes
  • View your classroom class rosters
  • View the email addresses of people in your classes
  • View your profile photo (if one exists)

After you initially connect and approve this access, the Service will cache data in your iOS device and in our database for app performance purposes and overall app functionality. Attendance Data that is stored is secured with Google Authentication. This allows you to access your data from multiple iOS devices. It is important for you to know that access to data on your iOS devices that is cached by this app is your responsibility. You should password protect your iOS device at all times.

Bluetooth Technology

This app requires students to enable bluetooth technology to allow for Beacon Scanning and Transmission. This technology is only used to approximate the distance between the teachers iOS device, and the students iOS device when checking in.

Locator Services

This app requires the teacher to enable Locator Services only while they are taking attendance. This service is required to allow the teacher to determine the approximate distance the student is from them while taking attendance. Physical GPS location not collected at any time. Locator Services sole purpose in this app is for Bluetooth Beacon Scanning. Locator Services may also run in the background to allow teachers to perform other tasks on their iOS device while attendance is in progress.

Service Providers

We may employ third-party companies and individuals for the following reasons:

  • To facilitate our Service;
  • To provide the Service on our behalf;
  • To perform Service-related services; or
  • To assist us in analyzing how our Service is used.

We want to inform our Service users that these third parties have access to your Personal Information. The reason is to perform the tasks assigned to them on our behalf. However, they are obligated not to disclose or use the information for any other purpose.

Security

We value your trust in providing us your Personal Information, thus we are striving to use commercially acceptable means of protecting it. But remember that no method of transmission over the internet, or method of electronic storage is 100% secure and reliable, and we cannot guarantee its absolute security.

Changes to This Privacy Policy

We may update our Privacy Policy from time to time. Thus, we advise you to review this page periodically for any changes. We will notify you of any changes by posting the new Privacy Policy on this page. These changes are effective immediately, after they are posted on this page.

Terms of Use

By downloading or using the app, these terms will automatically apply to you – you should make sure therefore that you read them carefully before using the app. You’re not allowed to copy, or modify the app, any part of the app, or our trademarks in any way. You’re not allowed to attempt to extract the source code of the app, and you also shouldn’t try to translate the app into other languages, or make derivative versions. The app itself, and all the trade marks, copyright, database rights and other intellectual property rights related to it, still belong to Newtown Software

Newtown Software is committed to ensuring that the app is as useful and efficient as possible. For that reason, we reserve the right to make changes to the app or to charge for its services, at any time and for any reason. We will never charge you for the app or its services without making it very clear to you exactly what you’re paying for.

The BeaconMeIn! app stores and processes personal data that you have provided to us, in order to provide our Service. It’s your responsibility to keep your phone and access to the app secure. We therefore recommend that you do not jailbreak or root your phone, which is the process of removing software restrictions and limitations imposed by the official operating system of your device. It could make your phone vulnerable to malware/viruses/malicious programs, compromise your phone’s security features and it could mean that the BeaconMeIn! app won’t work properly or at all.

You should be aware that there are certain things that Newtown Software will not take responsibility for. Certain functions of the app will require the app to have an active internet connection. The connection can be Wi-Fi, or provided by your mobile network provider, but Newtown Software cannot take responsibility for the app not working at full functionality if you don’t have access to Wi-Fi, and you don’t have any of your data allowance left.

If you’re using the app outside of an area with Wi-Fi, you should remember that your terms of the agreement with your mobile network provider will still apply. As a result, you may be charged by your mobile provider for the cost of data for the duration of the connection while accessing the app, or other third party charges. In using the app, you’re accepting responsibility for any such charges, including roaming data charges if you use the app outside of your home territory (i.e. region or country) without turning off data roaming. If you are not the bill payer for the device on which you’re using the app, please be aware that we assume that you have received permission from the bill payer for using the app.

Along the same lines, This app is designed to be an aid to taking attendance. If the app is used in K-12 enviornments where the teacher is responsible for guaranteeing the physical presence of a minor in the classroom, this app should be used as an aid to accelerate attendance and not as the sole resource. You will still be required to identify the students physical presence in the classroom. Attendance Data you collect with this app is purged if classroom attendance is inactive for 60 days or attendance data is more than 360 days old, whichever comes first. You may retain data longer if you transmit via email your attendance reports. This is a feature of the app. Data is available in HTML or raw CSV data format. Attendance Data Exported via email cannot be re-imported into this app. It is for the sole purpose of either integrating the data with other apps and/or retaining the data in an external system for your records. Attendance data is also purged if you Archive your course in Google Classroom. Student Attendance is no longer visible if you delete the student from your Roster in Google classroom. It is the responsible for the teacher to Sync with Google Classroom when rosters are changed, or new classes are created to make them visible after the initial download when the app is first installed. Newtown Software cannot always take responsibility for the way you use the app i.e. You need to make sure that your device stays charged – if it runs out of battery and you can’t turn it on to avail the Service, Newtown Software cannot accept responsibility

With respect to Newtown Software’s responsibility for your use of the app, when you’re using the app, it’s important to bear in mind that although we endeavour to ensure that it is updated and correct at all times, we do rely on third parties to provide information to us so that we can make it available to you. Newtown Software accepts no liability for any loss, direct or indirect, you experience as a result of relying wholly on this functionality of the app.

At some point, we may wish to update the app. The app is currently available on iOS devices – the requirements for both systems (and for any additional systems we decide to extend the availability of the app to) may change, and you’ll need to download the updates if you want to keep using the app. Newtown Software does not promise that it will always update the app so that it is relevant to you and/or works with the iOS version that you have installed on your device. However, you promise to always accept updates to the application when offered to you, We may also wish to stop providing the app, and may terminate use of it at any time without giving notice of termination to you. Unless we tell you otherwise, upon any termination, (a) the rights and licenses granted to you in these terms will end; (b) you must stop using the app, and (if needed) delete it from your device.

In-App Purchases and Free Trial

If you are a Student, there is no cost to using this app. If you are a teacher you have a free trial which allows you to take attendance up to 20 times, afterwhich you will need to subscribe to track student attendance. You can view current subscription rates via the Subscription Menu Option from the Class List View. Payment will be charged to iTunes Account at confirmation of purchase. Your subscription automatically renews unless auto-renew is turned off at least 24-hours before the end of the current period. Your account will be charged for renewal within 24-hours prior to the end of the current period at the same rate and duration of your most recent purchase (see table above). You may manage the subscription and auto-renewal may be turned off by going to your account settings after purchase. Any unused portion of the free trial period, will be forfeited when you purchase a subscription.
